Encrypted in transit
Every document is encrypted using HTTPS during transmission, so PDFs are protected on the way from the device to delivery.
Encrypted at rest, then deleted
While a document is briefly held for delivery, it sits in encrypted-at-rest cloud storage, then it's deleted automatically within 12 hours. PrintSent isn't a document archive.
Secure download links
Sensitive documents can be delivered as secure download links instead of email attachments, keeping the file out of inboxes and forwarded threads.
No customer PII in emails
No customer personal information appears in email subject lines or body text, only safe identifiers like RO numbers. The document itself carries the detail.
Read-only, scoped viewer access
Staff who only need to see documents get a read-only viewer. They can't change any settings, rules, or templates, and only ever see the printers you assign, never another printer's or dealership's files. Sign-in is a one-time email code, kept separate from admin logins.
Nothing left sitting on screen
Documents opened in the viewer are generated as PDFs on the fly and never stored as finished files. The live list shows only the last twelve hours of activity, like a printer tray that's cleared out, so sensitive paperwork doesn't linger.
No AI, never shared
Print-job data stays inside PrintSent to run the service. It's never sent to AI tools or other third-party services, and your documents and any extracted text are never used to train AI or machine-learning models. All hosting and storage is in the United States.
Designed for dealership data obligations
Auto dealerships handle exactly the kind of customer and financial information covered by the FTC Safeguards Rule and similar data-protection requirements. The documents that flow through Dealertrack every day, including Repair Orders, Statements, and invoices, are part of that obligation.
PrintSent is designed to reduce exposure across that workflow: documents are encrypted in transit and at rest, held only briefly before automatic deletion, can be delivered as secure links, and never carry customer personal information in email subject lines or body text. Just as importantly, documents stop sitting unattended in shared printer trays where anyone can see them.
The Rule also makes you responsible for the service providers who handle that information: selecting ones capable of protecting it, contracting for those safeguards, and assessing them over time. We're built for that review rather than around it: named subprocessors, a data processing agreement, a written account of our controls, and a completed security questionnaire on request. Your IT team or security officer will want the device & network security page.
PrintSent supports your data-protection program; it doesn't replace it. Each dealership should confirm its specific compliance requirements with its own compliance team or advisors.
Your documents are never used to train AI
PrintSent does not use artificial intelligence or machine learning to process your documents. Data from your print jobs stays inside PrintSent and is used only to run the service: capturing the job, applying your form template, delivering the PDF, and briefly storing it before automatic deletion.
Your documents, and any data read from them, are never sent to third-party AI tools or other outside services, and are never used to train AI or machine-learning models — ours or anyone else's. We also don't sell your data or use it for advertising or profiling.
The only automated reading PrintSent does is deterministic and purpose-built, not AI: it decodes the reference barcode your printer already embeds to identify each document, and, when you use Statement Sender, it reads the account number on statements you upload so it can route them. Neither involves AI, and neither leaves PrintSent.
In short: no third-party AI, no AI training on your documents, and no selling or profiling of your data.
