These controls work together to keep documents protected from the moment they leave Dealertrack to the moment they reach the right person.
Encrypted in transit
Every document is encrypted using HTTPS during transmission, so PDFs are protected on the way from the device to delivery.
Encrypted at rest, then deleted
While a document is briefly held for delivery, it sits in encrypted-at-rest cloud storage — then it's deleted automatically, generally within about 12 hours. PrintSent isn't a document archive.
Secure download links
Sensitive documents can be delivered as secure download links instead of email attachments, keeping the file out of inboxes and forwarded threads.
No customer PII in emails
No customer personal information appears in email subject lines or body text — only safe identifiers like RO numbers. The document itself carries the detail.
Read-only, scoped viewer access
Staff who only need to see documents get a read-only viewer — they can't change any settings, rules, or templates, and only ever see the printers you assign, never another printer's or dealership's files. Sign-in is a one-time email code, kept separate from admin logins.
Nothing left sitting on screen
Documents opened in the viewer are generated as PDFs on the fly and never stored as finished files. The live list shows only the last twelve hours of activity — like a printer tray that's cleared out, so sensitive paperwork doesn't linger.
Designed for dealership data obligations
Auto dealerships handle exactly the kind of customer and financial information covered by the FTC Safeguards Rule and similar data-protection requirements. The documents that flow through Dealertrack every day — Repair Orders, Statements, invoices — are part of that obligation.
PrintSent is designed to reduce exposure across that workflow: documents are encrypted in transit and at rest, held only briefly before automatic deletion, can be delivered as secure links, and never carry customer personal information in email subject lines or body text. Just as importantly, documents stop sitting unattended in shared printer trays where anyone can see them.
PrintSent supports your data-protection program; it doesn't replace it. Each dealership should confirm its specific compliance requirements with its own compliance team or advisors.
