Short answer: print the Repair Order to a PrintSent virtual printer instead of a physical one. The branded PDF appears in a shared portal within seconds, and you email it to the customer or insurer, or download it. No walking to a printer and no scanning. If you do not have PrintSent yet, here is the manual way most Dealertrack stores use, and the one-step way alongside it.
The manual way (print, scan, email)
- Open the Repair Order in Dealertrack and print it, so the logos and formatting come out right.
- Walk to the printer and pick up the pages.
- Walk to the scanner and scan the RO back in.
- Email the scan to yourself.
- Forward it to the customer, or attach it to the warranty or insurance submission.
It works, but it takes an advisor away from the desk for a few minutes on every request. QPRINT is not a shortcut here: it is text only, with no logos or layout, so it is not something you send a customer.
The one-step way (with PrintSent)
- Print the Repair Order in Dealertrack exactly as you do today, choosing the PrintSent printer.
- Open the shared portal, where the branded PDF is already waiting, and email or download it.
That is the whole thing. The copy that goes out is a clean, branded PDF instead of a scan, and it works the same at every service location.
